1 General information

Which doctoral candidates are allowed to participate?
Currently those doctoral candidates are allowed to participate in the courses, who have already registered as a doctoral candidate in one of the following faculties:
  • Faculty of Medicine
  • Faculty of Science
  • Faculty of Economics and Social Sciences
  • Faculty of Humanities
  • Faculty of Protestant Theology
  • Faculty of Catholic Theology
  • Faculty of Islamic Theology
Doctorate holders (for doctorates awarded by the university) who have earned their degree in the last 12 months, are invited to participate in the qualification program, too, especially in career development courses. Exceptions from this may exist, see the definition of the target group for a course.
How do I register for the ILIAS system of the Graduate Academy?
  • Members of the University (academic staff, enrolled doctoral candidates with student status) can use their already existing University login to directly enter the system. However, first they have to add information about the doctoral status in the section Personal Data. Without these data participation in the courses is not possible.
  • Doctoral candidates who do not possess a valid University login may newly register for the system. In these cases, essential basic data about the doctoral status will be requested which should guarantee that only doctoral candidates participate in the courses.
In both cases your doctoral status will be checked by us. Usually, we will contact you for this.
Once your status has been confirmed, we will activate your account and you will receive a welcome email. After that you can browse our program and register for courses.
How many courses can I book?
  • Right now there is no maximal amount on courses that can be booked to offer a maximal freedom of choice for the user.
  • Please do only book courses which you definitely will visit.
  • Please book a course only if you are sure to attend the whole workshop.
  • Note our policy if you miss a course unexcused (explained on this page).
Do I have to pay for the course?
  • All courses are financed by the Central Graduate Academy of the University of Tübingen. Some courses are organized together with partners of the University.
  • Therefore, there are generally no costs for registered doctoral candidates in one of the faculties listed above (see: Which doctoral candidates are allowed to participate?)
  • If there is an exception to this, e.g. for individual coaching sessions, you will be clearly informed about the details.
Are there mandatory courses?
No. All courses are voluntary with a free choice of courses and combinations thereof. In rare cases there is a combination of basic and advanced courses. Sometimes you can only book a course if certain requirements are fulfilled ( e.g. Language courses, that require a certain level).
Can courses be cancelled?
  • Very rarely we have to cancel a course e.g. if a trainer falls ill.
  • In these cases we do our best to find a new date in the near future - and we will inform you as soon as we have cleared the details.

2 Registration

How do I book courses?
  1. As soon as you log in to the system, you will see your Personal Desktop where you can manage your booked courses.
  2. From there you can go to Repository where you can find the folder giving access to the Qualification Program.
  3. Here you can check and book courses (use the button „Subscribe“).
What will happen if a course is fully booked?
  • When a course is fully booked, you can sign up for the waiting list.
  • We will invite you to participate in the course as soon as a course place becomes available.
  • We might contact you on very short notice - please make sure to answer promptly.
Do I have to pay for the course?
  • All courses are financed by the Central Graduate Academy of the University of Tübingen. Some courses are organized together with partners of the University.

3 Deregistration

How do I cancel a course booking?
  • Registration for a course is binding. Therefor you will not be able to cancel a course registration by yourself.  A regular cancellation is only possible until the registration deadline via the address info@graduiertenakademie.uni-tuebingen.de.
  • Please let us know as soon as possible if you can’t participate in a course on short notice due to illness. You can contact us by e-mail info@graduiertenakademie.uni-tuebingen.de or phone 07071/29-75394 or 07071/29-76464.
  • Fairness is very important to us. That’s why we examine short notice cancellations (sickness, emergency) and decide accordingly to consistent criteria whether a temporary blocking is necessary. Medically certified sickness is usually accepted.
  • It is not possible to cancel your participation with the trainer.
What will happen if I miss a course unexcused?
If you miss a course without an excuse and there was neither a sickness, nor an emergency (which we could accept after examination) your access to the Qualification Program will be blocked for 6 months. During that time you will not be able to visit courses.

  • In case of repeated violations the Graduate Academy reserves the right to increase the time of access blockage.
Why do I temporarily lose access to the qualification program if I miss a course unexcused?
If you book a course and miss it unexcused, this has consequences for
  • The trainer: He/She will have to adapt the workshop design - but some exercises or training settings only work with a certain number of participants.
  • Other doctoral candidates who might have been interested in participating in a course but had no chance to do so.
  • Us as organizers at the Graduate Academy and for the University: We have to pay more for one workshop place if a course is not fully booked.
Certificate of attendance

4 Certificate of attendance and Quality Assurance

Will I receive a certificate of attendance?
We hand out certificates of attendance for single courses. In some cases our cooperation partners will hand out certificates (e. g. for language courses). You can get your certificate of attendance on request at our office. Please write your request to info@graduiertenakademie.uni-tuebingen.de
We do not send out certificates via mail or e-mail.
Where do I get my certificate of attencance?
Please note: We are currently changing the process of handing out the Certificates of Attendance. Therefore, we would like to ask you to only request your certificates in urgent cases (e.g. if you are writing a job application). We expect that we can give out the certificates without any restrictions by the end of October 2018.
From now on, you can pick up your Certificate of Attendance on request at the Graduate Academy Office on Tuesdays and Thursdays from 10:00-12:00.
  1. Please write an email beforehand to  info@graduiertenakademie.uni-tuebingen.de, stating your name and – for courses since September 2018 – the names of the courses for which you would like to receive a certificate. 
  2. When we have prepared your certificates, you will receive an email from us. This may take up to two weeks. Then you can come and get them at our office hours. 
  3. In exceptional cases, you can make an appointment with us, please wrtie an email to  info@graduiertenakademie.uni-tuebingen.de.
  4. After you have received our email, please come here to pick up your certificates:

Directions: Entrance at the rear, via Silcherstraße/parking lot. In the building turn left, then right. Walk down the corridor to the staircase at the end of the corridor [opposite the mailboxes]. Take the stairs to the 2nd floor and walk back along the corridor. Room 226 is on the left hand side.

Please note that it might be advisable to get your certificates at the end of your doctorate or when you start applying for jobs. Thus, you can pick them up all at once.
Evaluation and Quality Assurance
In order to control and assure the quality of our program, we ask you to anonymously evaluate our courses. Thus, you have the opportunity to give us feedback on the specific course, on the trainer and on the program as a whole. Here, you can also suggest other topics and courses that you would like to participate in. We always aim to make our program as interesting to you as possible, therefore, we are very happy about every feedbaack we get!

Please be aware that we occasionally use feedback from the evaluation forms for infomation and documentation purposes.
